How the engagement runs

Business Knowledge Assistant · 3–5 weeks

  1. The work today: The process exists, but it is spread across inboxes, shared drives and whoever remembers.
  2. Discovery: A paid session maps the current steps, handoffs and exceptions, and takes a baseline.
  3. Build in milestones: Work ships in visible increments with review points, so a wrong assumption is cheap to change.
  4. Approval gate: Anything client-facing waits for a person. The gate is part of the build, not an afterthought.
  5. Handover: A working system in your accounts, with documentation and a session for the team.
  6. Measure: The outcome is compared with the original baseline, then you decide: optimise, expand, or stop.
One path from manual work to a measured result. The approval gate is deliberate: preparation can be automated, the commitment to a client cannot.

The situation

What this engagement actually changes.

Proposals, SOPs, policies and project documents already exist. The problem is that finding them depends on who remembers where they are. We make that knowledge searchable and answerable without pretending the model is always right.
  • New and junior team members answer routine questions without interrupting partners
  • Every answer points back to the document it came from
  • Access follows role, so sensitive material stays restricted
  • Usage is visible, so you can see what the assistant is actually used for

Best for

  • Firms where knowledge lives in senior people's heads and shared drives
  • Teams answering the same internal questions every week
  • Businesses that want AI assistance without handing over client data blindly

What we need from you

  • A named internal owner for knowledge and permissions
  • Access to the document sources in scope, or a sample export for the audit
  • Agreement on what must stay out of the index before ingestion begins

Timeline

3–5 weeks

Scope

What you get, in plain language.

Each line below is a deliverable you can review at handover. Nothing here is optional or assumed.
01

Knowledge audit

What you have, where it lives, what is usable and what should never be indexed.

02

Document & website ingestion

A repeatable pipeline for pulling content in, with metadata and refresh rules.

03

Retrieval-augmented search

Answers composed from retrieved passages rather than model memory.

04

Business assistant

A simple chat interface your team can use without training manuals.

05

Source references

Numbered citations on every grounded answer, linked to the original document.

06

Role-based access

Permissions applied at the source level, not only at the interface.

07

Basic usage dashboard

Questions asked, unanswered queries, top sources and cost visibility.

08

Team onboarding

A working session plus written guidance on where the assistant is reliable.

What is not included

Written down before we start, so it never becomes a surprise invoice.

  • A guarantee that the assistant is always correct — answers carry sources, tests and a confirmation process
  • Indexing personal drives or mailboxes without an explicit data agreement
  • Fine-tuning or custom model training
  • Autonomous actions in external systems outside the agreed scope

How it works

Discover, design, build, improve.

Clear scope, human oversight and measurable outcomes. Every engagement follows the same four stages, whether it takes two weeks or two months.
01

Discover

Understand the process before proposing a tool.

Output

A written problem statement and a shortlist of options, including the option of doing nothing.

02

Design

Choose the smallest system that solves the problem.

Output

A signed scope with deliverables, exclusions and a fixed payment schedule.

03

Build

Ship in visible increments, with your team involved.

Output

A working system in your accounts, with documentation and a handover session.

04

Improve

Measure the outcome, then decide what is next.

Output

An outcome report and a decision on whether to move to a managed service.

Questions

About the business knowledge assistant.

Does it hallucinate?
Any language model can produce a wrong sentence. We reduce that risk by answering only from retrieved passages, showing the source for each claim, and defining a 'not found' behaviour instead of guessing. Your team is still responsible for confirming anything used externally.
Where does our data go?
Into infrastructure we agree on, in writing. Your documents stay in your storage, retrieval runs against your index, and the model provider is selected with data-retention terms you approve. We document the flow during the knowledge audit.
Can we restrict access by person or role?
Yes. Permissions are applied when documents are indexed so restricted material is never retrieved by someone who should not see it — not just hidden in the interface.
What does it cost to run each month?
Hosting and model usage, estimated from your document volume and expected questions. We give you the estimate before build and monitor actual spend in the usage dashboard. Usage above an agreed allowance is billed separately.
