How the engagement runs

AI Workflow Pilot · 2–4 weeks

  1. The work today: The process exists, but it is spread across inboxes, shared drives and whoever remembers.
  2. Discovery: A paid session maps the current steps, handoffs and exceptions, and takes a baseline.
  3. Build in milestones: Work ships in visible increments with review points, so a wrong assumption is cheap to change.
  4. Approval gate: Anything client-facing waits for a person. The gate is part of the build, not an afterthought.
  5. Handover: A working system in your accounts, with documentation and a session for the team.
  6. Measure: The outcome is compared with the original baseline, then you decide: optimise, expand, or stop.
One path from manual work to a measured result. The approval gate is deliberate: preparation can be automated, the commitment to a client cannot.

The situation

What this engagement actually changes.

Automation fails when it starts with tools instead of a process. This pilot begins with discovery, automates one workflow properly, and measures the result against a baseline taken before we build.
  • A documented workflow your team can operate without the founder in the loop
  • Drafts, summaries or records prepared automatically with a human approval gate
  • Errors logged with enough context to fix them instead of guessing
  • A baseline and post-pilot measurement, so the outcome is not a feeling

Best for

  • Teams with a repetitive process that crosses two or three tools
  • Firms that want AI involved but require a person to approve external actions
  • Operations leads who need evidence before committing to a larger programme

What we need from you

  • One process owner who can describe how the work is done today
  • Sandbox or test credentials for the systems involved
  • A baseline measurement agreed before the pilot starts

Timeline

2–4 weeks

Scope

What you get, in plain language.

Each line below is a deliverable you can review at handover. Nothing here is optional or assumed.
01

Workflow discovery

Current steps, owners, handoffs, exceptions and where time is actually lost.

02

One primary workflow

A single process in scope, with entry, exit and acceptance criteria agreed upfront.

03

One to two agents where justified

Agents only where reasoning or tool selection is genuinely required.

04

One to three integrations

Connections to the systems the workflow already touches.

05

Approval queue

A review step before anything is sent, published or written to a client system.

06

Error handling & logs

Failures are captured, visible and retryable — not silently dropped.

07

Outcome measurement

Before-and-after comparison on the metric we agreed to move.

What is not included

Written down before we start, so it never becomes a surprise invoice.

  • Unlimited autonomous execution without human review
  • Integrations with systems that were not identified during discovery
  • Rebuilding existing software the workflow depends on
  • Licence and subscription costs for third-party tools

How it works

Discover, design, build, improve.

Clear scope, human oversight and measurable outcomes. Every engagement follows the same four stages, whether it takes two weeks or two months.
01

Discover

Understand the process before proposing a tool.

Output

A written problem statement and a shortlist of options, including the option of doing nothing.

02

Design

Choose the smallest system that solves the problem.

Output

A signed scope with deliverables, exclusions and a fixed payment schedule.

03

Build

Ship in visible increments, with your team involved.

Output

A working system in your accounts, with documentation and a handover session.

04

Improve

Measure the outcome, then decide what is next.

Output

An outcome report and a decision on whether to move to a managed service.

Questions

About the ai workflow pilot.

What counts as one workflow?
One trigger, one business outcome, and the steps between them. 'Turn a new inquiry into a reviewed proposal draft' is a workflow. 'Automate sales and delivery' is not — that is a programme.
Will it act without anyone reviewing?
Not for anything external. The approval queue is part of the deliverable, not an optional extra. Internal, reversible steps can run automatically if you agree to it in scope.
What if the automation does not produce the result?
We define acceptance criteria during discovery and measure against the baseline. If the agreed criteria are not met, we fix the workflow within the pilot scope or document why it should not be automated as designed.
Can this become a monthly service?
Yes. After a successful pilot, staying on a managed plan covers monitoring, adjustments and support. Expanding to additional workflows is quoted separately.
